Terms of Participation

INFO FOR PARTICIPANTS

 

Who can participate?

Decorative-Applied Arts field representatives, Designers, Traditional Crafts makers, entrepreneurs, and retailers from Georgia and beyond are eligible to participate in the Summit!

All products presented on the expo fall in the category of handmade or hand finished.

Summit also invites experts and buyers of the field to take part in the event with their preferable format.

Summit is open for the wide audience!

Participation in the Expo:

 

Registration Fee - 200 GEL

 

 1. Stand 4 m2 – 720 GEL; 

*The fee includes 1 round shape table (diameter 80 cm); 2 chairs, lighting, personal label on the frieze of the stand, recycle bin.

 

2. Stand 6 m2 – 980 GEL; 

*The fee includes 1 rectangular shape table (183X77X75) or 1 round shape table (diameter 80 cm); 2 chairs, lighting, label on the frieze of the stand, recycle bin.

 

1.            Registration and admission/participation


1.1 Submission of the filled application via google forms, is considered as an expression of interest of participation. Due to limited number of stands the organizational committee will conduct selection of the participants based on the quality and appliance to the thematic of the summit.
1.2 Confirmation to chosen participants will be sent in written form via e-mail.
1.3 Chosen participants will be informed no later than July 15, 2024
 

 

2. Payment


2.1 The participant should pre-pay the 50% of the amount due within 2 week after the confirmation is received.
2.2  The full amount due should be covered no later than September 15, 2024.
2.3  Payments should be done via bank transfer:

 * In the payment description please indicate ETHNOFEST. The name of the participant or organization; size of the stand.

3. Sub-rent/change of the exhibition space

 

3.1.    Exhibition participant is not allowed to hand over to the third party or exchange the stand dedicated to him/her. Any changes regarding the allocated space should be made with organizer’s written permission.

 

 4. Cancellation of the registration


4.1 If the participant cancels registration he/she has to accept the following rules:
In case participant cancels participation before August 15, 2024, the whole paid amount will be reimbursed (excluding the banking expenses). If the registration is cancelled before September 1, 2024, 20% amount due will be retained.  In case of cancelation before September 1, 2024,  50% amount due will be retained; in case of cancelation after October 1, 2024,  the amount paid will not be reimbursed.
4.2 Organizer is authorized to delay, shorten, lengthen or cancel the event. The exhibition can also be temporarily or permanently terminated. In case of cancelation full amount of the fee will be refunded to the participants.
4.3    A request of registration cancellation will be considered as valid in case it is submitted in a written form to the organizer and if the participant receives notification of the receipt of the information.
4.4 If the participant fails to occupy the allocated exhibition space before 15:00, October 10, 2024, the organizer has a right to issue the space to other exhibitor. This rule will not be applied if late appearance is agreed with organizers.

 

5. Exhibition digital catalogue


5.1  Information, which the participant indicates in the relevant section of the application form, will be placed in the exhibition digital catalogue.

6. Security


During the exhibition, the participant is obliged to stand at his/her exhibition space/stand and to keep an eye on the exhibits by himself/herself or with the support of its representative.  Organizer is not responsible for any harm or loss of the production presented on the stand.

7. Set up and Dismantle


The stands must be set up the day before the opening of the exhibition. Dismantle should be made on the same evening when the expo ends.

 

The terms of the exhibition may be changed. Detailed information regarding participation will be additionally provided to the chosen participants by the organizer.
